Open a stock take for a new site in advanced stock

You can open a new stock take for your new location

When a new site, location or outlet is created the related stock take can be created using the steps below.

Outlet Full

This type of stock take is a stand alone stock take and not linked to others form the same site.

  1. Click the Admin Cogs icon along the top bar.

  2. Click Advanced Stock Controls then click Stock Taking.

  3. Click Add Full Stock Take.

  4. Enter and select the following:

    • Title.

    • Site.

    • Stores or outlets, here you must select the outlet.

    • Purchaser group.

    • Financial period.

    • Counting method.

    • Start date.

    • Start time.

    • End date.

    • End time.

  5. Click Create.


Unit Full

πŸ“Œ Note: In the normal process of implementing a new site, we would always advise to create a new stock take for one day and then close. First time stock takes or "Opening Counts" should be opened for one day so you can enter the opening count (as an example 01/01 to 01/01), the system has no previous data input and requires one full stock count. We need to tell the system what those initial values are. By doing this, when creating your next stock take it can link up your closing values as the next stock takes opening values.

This type of stock take links stock takes together, normally used in conjunction with purchaser group allowing a for a combined view of the stock takes.

If an addition outlet to an existing site has been created and you want to open a stock take within the current stock period you will need to delete and reopen the current stock take. when this done the new outlet will be picked up.

If its a new site and you wish to create the first stock take in the format of a unit full please follow the steps below:

  1. Click the Admin Cogs icon along the top bar.

  2. Click Advanced Stock Controls then click Stock Taking.

  3. Click Add Full Stock Take.

  4. Enter and select the following:

    • Title.

    • Site.

    • Stores or outlets, here you must select all outlets.

    • Purchaser group.

    • Financial period.

    • Counting method.

    • Start date.

    • Start time.

    • End date.

    • End time.

  5. Click Create.
